CySo Invoicing - Terms of Use

Last updated: 13 October 2026

1. About These Terms

These Terms govern your use of CySo Invoicing (invoice.cysosolutions.com), operated by CySo Solutions Ltd. By creating an account, you agree to these Terms. Contact: [email protected]

2. Who Can Use CySo Invoicing

CySo Invoicing is for freelancers, consultants, and small businesses. You must be 18 or older. Use of the service confirms you meet this requirement.

3. What CySo Invoicing Is (and Is Not)

CySo Invoicing is a software tool for creating invoices, quotations, and receipts. It is not a legal service, tax or accounting service, or payment processor. You are solely responsible for ensuring your invoices comply with applicable tax laws and legal requirements in your jurisdiction.

CySo Invoicing is available as a web app and as an Android application. We distribute the Android app ourselves (including via direct download) and it updates its content over the air; standalone app-store terms do not apply unless you obtain it from an app store. Push notifications, where offered, require your device permission and can be turned off at any time.

4. Account Registration

Provide accurate information. Keep credentials secure - you are responsible for all account activity. Contact [email protected] immediately if you suspect unauthorised access.

5. Your Data and Documents

All invoices and documents you create belong entirely to you. We claim no rights over them. Your documents are stored on your own device and/or your own cloud storage, not on our servers - except the copies you choose to share through accountant access (CySo Flow) or an AI connector, as described in the Privacy Policy (§3.8, §3.9). You are responsible for your own backups.

6. Acceptable Use

Do not use CySo Invoicing to create fraudulent invoices, facilitate tax evasion, invoice for illegal goods or services, impersonate others, or attempt unauthorised access to the service. Violation may result in account suspension or termination.

7. Subscription Plans and Billing

Free tier: you may create up to 10 invoices per calendar month at no cost (the count resets at the start of each month). All other features are included.

Pro: for unlimited invoices, subscribe to Pro at €9.99/month or €99.99/year (prices shown excl. any applicable VAT; the exact amount and currency are confirmed at checkout). New users can start a 30-day free Pro trial with no credit card required. When the trial ends, your account simply returns to the Free tier unless you choose to subscribe - you only enter payment details if and when you subscribe, and you are never charged automatically from the trial.

Payments are processed by Stripe; we never see or store your card details. Subscriptions renew automatically at the end of each period unless cancelled. You can cancel anytime from the in-app billing portal; access continues until the end of the paid period already started. We will give at least 30 days' notice of any price change. Statutory EU consumer withdrawal rights apply where relevant.

VAT. VAT is charged according to where you are and whether you buy as a business: customers in Cyprus pay Cyprus VAT; a business in another EU member state that gives a valid VAT number is invoiced without VAT under the reverse-charge mechanism (Article 196 of Council Directive 2006/112/EC); other customers in the EU pay VAT at the rate the law requires; customers outside the EU pay any VAT, GST or sales tax that applies where they are, where we are registered to collect it. If a VAT number you give turns out not to be valid, we may charge the VAT that should have applied, including by a corrected invoice.

Cancelling. If you cancel, Pro stays on until the end of the paid period, and in any case for at least 7 days after you cancel. Pro is sold only on the website (invoice.cysosolutions.com); the Android app is free.

Failed payments. If a payment fails, Pro keeps working while the payment is retried, and we email you once a week for up to 30 days. If it is still unpaid after 30 days, the subscription is cancelled and your account moves to the Free tier; nothing you created is deleted, except the AI-connector copy, which ends with your paid plan (Privacy Policy §3.9). If a payment is reversed by a chargeback and the subscription ends as a result, your account moves to the Free tier straight away; the six-month rule below then applies. If the account then has no Pro subscription and nobody signs in to it for six months, we close it (see §13), after warning the account email 30 days and 7 days before.

8. Service Availability

We aim for reliable availability but do not guarantee uninterrupted service. Because your documents are stored locally and in your own cloud, a service outage does not cause data loss. We are not liable for losses from downtime.

9. Intellectual Property

CySo Invoicing's code, design, and branding are owned by CySo Solutions Ltd. Your business content and documents remain your own intellectual property.

10. Third-Party Services

The service integrates with Firebase/Google (auth, settings, push), Cloudflare (hosting, email relay, app distribution), your chosen cloud storage provider (connected by you), Stripe (subscription payments), and any AI app you choose to connect (§3.9 of the Privacy Policy). Your use of these services is subject to their own terms.

10A. Connecting an AI App

If you connect an AI app (for example ChatGPT or Claude) with a connector key, you instruct us to make the data that key allows available to that app, at your request. You are the controller of your clients' personal data and you choose the AI provider. Before connecting one, you are responsible for: (a) having a lawful basis to share your clients' data with it; (b) telling your clients, in your own privacy notice, that you use such tools; and (c) having an appropriate agreement with the AI provider - we recommend a business plan with a data processing agreement (for example ChatGPT Business or Enterprise, or Claude Team or Enterprise), or at least switching off the use of your chats for model training on personal plans. The connector's data tools never share your clients' email addresses, phone numbers or postal addresses, except anything you typed into subjects, notes or descriptions, which is shared as written; document PDFs do show them and are shared only if you switch on "Get document PDFs" for a key and confirm it. You can hide client names from an AI app per key. The AI provider's processing is governed by its own terms, and we are not responsible for it.

11. Disclaimer of Warranties

CySo Invoicing is provided "as is" without warranties of any kind. We do not warrant that documents produced will comply with tax or legal requirements in your jurisdiction.

12. Limitation of Liability

Our total liability to you shall not exceed the amount you paid to us in the 12 months preceding any claim (or €50 for free-tier users). We are not liable for tax penalties, indirect losses, or loss of data stored in your own device or cloud. This does not limit liability for death or personal injury caused by negligence.

13. Termination

You may delete your account at any time. We may suspend accounts for Terms violations or after 24 months of inactivity (with 30 days' email notice). Account deletion permanently removes all data we hold, as described in the Privacy Policy (§9).

Accounts left after non-payment. If Pro was cancelled for non-payment and the account then has no Pro subscription and nobody signs in to it for six months, we close it, after emails 30 and 7 days before. After closure you still have 30 days to export your data or reverse the closure simply by signing in; then the account and the data we hold for it are deleted as described in the Privacy Policy. Documents on your own device and in your own cloud storage are never touched. For these accounts this rule replaces the 24-month rule above.

14. Changes to These Terms

We may update these Terms from time to time. The date at the top shows when they last changed.

15. Governing Law

These Terms are governed by the laws of the Republic of Cyprus, without prejudice to mandatory consumer-protection rights you have under the law of your EU country of residence. The courts of Cyprus have jurisdiction, subject to those mandatory consumer rights. EU consumers may also use the EU Online Dispute Resolution platform.

Annex - Data Processing Terms (GDPR Article 28)

This annex forms part of these Terms and applies whenever you use CySo Invoicing for personal data of your clients or other people ("Client Data").

  1. Roles. You are the controller of Client Data; CySo Solutions Ltd is your processor.
  2. Subject matter, duration, nature and purpose. Providing the CySo Invoicing service you request - your account and settings, settings sync, relaying your emails, quotation approval links, push notifications, and, only when you switch them on, accountant access through CySo Flow and AI connectors - for as long as you use the service.
  3. Types of data and data subjects. Names, company names, VAT numbers and contact details of your clients and their contact persons, and the content of the documents you create, as processed by the features above. The data subjects are your clients, their contact persons and other people named in your documents.
  4. Instructions. We process Client Data only on your documented instructions - these Terms and your use and settings of the service - including with regard to transfers to third countries, unless EU or Member State law requires otherwise, in which case we will tell you unless that law forbids it. We will tell you immediately if, in our opinion, an instruction infringes data-protection law.
  5. Confidentiality. Everyone at CySo authorised to access Client Data is bound by confidentiality.
  6. Security. We apply the technical and organisational measures described in the Privacy Policy (§8), including encryption in transit, encryption of stored credentials, access controls and database security rules.
  7. Sub-processors. You authorise the sub-processors listed in the Privacy Policy (§6): Google (Firebase, and Google Drive for encrypted backups), Cloudflare (including R2 for encrypted backups) and OVH (hosting of our own error monitoring and system email, and encrypted backups) (Stripe processes only your own subscription billing data). We impose on each sub-processor data-protection obligations equivalent to those in this annex. We will inform you of any intended addition or replacement by updating that list, so that you can object; if you object, you may stop using the affected feature or close your account. AI apps you connect are chosen by you and are not our sub-processors (§10A).
  8. Assistance. Taking into account the nature of the processing, we help you, as far as reasonably possible, to respond to data-subject requests and to meet your obligations on security, personal-data breach notification, data-protection impact assessments and prior consultation with the supervisory authority.
  9. Personal-data breaches. We will notify you without undue delay after becoming aware of a personal-data breach affecting Client Data.
  10. Deletion. You can export your data at any time before deletion. If an account is closed after non-payment and inactivity (Terms §13), you have 30 days after the closure to export your data or reverse the closure by signing in; that closure is part of your documented instructions. When you delete your account we delete the Client Data we hold, as described in the Privacy Policy, unless the law requires us to keep it. Data on your own device and in your own cloud storage stays under your control.
  11. Audits and information. We make available the information necessary to demonstrate compliance with Article 28 GDPR and allow for and contribute to audits by you or an auditor you mandate, on reasonable notice. Contact [email protected].
  12. International transfers. Where Client Data is transferred outside the EEA, it is protected as described in the Privacy Policy (§7).
